Manage your user licenses

Find out how to manage your different Recruiter and Manager licenses in Beetween.

Managing autonomous user licenses is an important feature of any SaaS software. Let's take a look at how to grant, modify or delete a user license in your Beetween settings.

Who can administer licenses


You can set up a whole range of customizations in your Beetween platform in the Settings tab: job ad templates, e-mail templates, SMS templates... depending on the options you hold. The same applies to your company's user licenses.

However, only users with Beetween access administration rights can do this.

If you have a Silver account, the 1st account created in your company's name (recruiter account) has administration rights for manager licenses.

If you have a Gold account, you have given us the name of the account to which you wish to assign administration rights when configuring your accounts.

How can you find out which rights your users have?


Go to Settings > Configuring Accounts > Users.

💡 Only the administrator of your company has this menu.

How do I modify or delete an existing user?


The administration page is divided into 3 parts: licenses, search area and user list.

Your company's licenses

There are 3 types of license: Recruiter, Manager and Company admin:

  • The "Recruiter" profile enables you to post job advertisements and manage an end-to-end recruitment process.
  • The "Manager" profile is a more limited access, allowing a manager to consult and validate (or not) a candidate profile in the recruitment process.
  • The "Company admin" profile is a recruiter profile to which user license administration rights have been added.

Depending on your subscription package, you may have more or fewer user licenses of each type. Only the administrator license remains unique.

The number on the left corresponds to the number of licenses used, the number on the right to the total number of licenses available in your subscription.

The search zone


In this area, you can search for a user in your company by first or last name, e-mail address, Beetween account status, license type or agency. You can also create a new user by clicking on the icon representing a person surmounted by a "+" sign.

📌 By default, users are filtered by status: only users with "Active" status are displayed. You can remove this filter at the top left of the table.

List of users and licenses used


The user list lets you see, at a glance, the licenses held by each user. This view also gives you quick access for modifying, suspending and deleting a given license.

💡 Users are listed in alphabetical order.

These actions are made possible by the 3 dots at the end of the line.

  • Invite: Allows you to invite a new user. This new user will have access to the same recruitments as the selected user. The selected user's account will be retained. You can notify the new user by e-mail and transfer ownership of the selected user's recruitments to him/her.
  • Reassign: Reassigns a user's account. The new user will have access to the same recruitments as the selected user. The selected user's account will be suspended. You can notify the new user by e-mail and transfer ownership of the selected user's recruitments to him/her (option checked by default). However, the new user will not be able to take over the former user's current RRs.
  • Modify: Allows you to modify the user's profile, i.e. first name, last name, license and agency if applicable.
  • Suspend (or Reactivate): Allows you to suspend (or reactivate, as the case may be) a user's license. If reactivated, the user will regain the same access to recruitment as before.
  • Theme & logo: Allows you to customize the Beetween interface theme and logo displayed for the selected user.
  • Notifications : Allows you to set the notifications the user will receive.
  • Groups : Allows you to create and manage groups to which the user can belong (see our article on groups in Beetween).

Creating a new user


You have 2 options for creating a new user: either you create a new access from scratch, or you copy the rights of an existing user ("Invite" function seen above).

Creation from A to Z


To create a new user from scratch, simply click on the "Add new user" icon just above the filter bar.

You'll then need to enter the new user's first and last name, e-mail address, the type of license you wish to grant (only the remaining licenses of your subscription are displayed), the agency to which he belongs, if any, and the password enabling him to access his account.

You can also choose to notify him/her by e-mail of the creation of his/her account. As the new user's account has been created from scratch, it will not contain any pre-existing recruitment files or job advertisements.
